CORPORATE MEMBERS

Company Memberships apply typically to professional associations and Chambers of Commerce, where membership is held by the legal entity not the individual. Of course other membership organisations also share this membership model (Federated Farmers for one). 
 
This model requires a separation of Company from Company Contacts. The contacts have various operational roles within companies which in turn, restrict the on-line experience of the contact when they login.
 
Some contacts may be designated Company Administrators (they can update the details of their associated Companies). Others may be designated the points of contact for invoicing - membership invoices are raised against the company and emailed/posted to these designated contacts. 
 
Points to note, each Contact has an individual personalised login to the MX Member Portal. MX does not support generic company logins due to the risk this presents to the membership organisation.
 
And of course MX readily handles a mix of both company and individual memberships.

INDIVIDUAL MEMBERS

Sports clubs, social clubs, and even retailers hold their members' (and customers') details in MX. Automatic billing, flow-through accounts and integrated communications as well as a highly functional CRM make MX a compelling model.
  • The full membership journey is supported with individual members as it is with company members. 
  • Individuals are assigned memberships, invoiced out, and payments receipted.
  • XERO to manage the membership accounts
  • Individual classifications regulate their on-line access, their memberships, and their email groups. A classification can be as simple as 'conference attendee' [mailing list] or as complex as 'Taranaki Gold Member' [financial membership type].
  • Individuals with mobile numbers can be added to SMS lists for bulk instant communications.
  • Engagement touch-points such as phone calls, emails, can (should) be recorded against them
  • Alerts such as 'don't phone after hours' or 'bad payer' against their records
  • Enjoy membership discounts when registering for events 

MEMBERSHIPS

Most organisations have a variety of members. Corporate members, Gold members; annual members; lifetime members; sponsors; supporters; group members, individual members, ordinary members; black-belt members .. etc. 
 
These are all examples of the various types of Memberships easily supported by MX.
 
Members may have one or more Memberships. And their memberships may overlap. 
For example, a member may be a "full member" at the start of the year and become a "Taranaki Branch member" as well, mid-year. The member now has two overlapping memberships, each with different subscription rates, start dates and membership terms. 
 
Each Membership has a distinct ..
  • subscription (fee),
  • start date and
  • membership term.
There are usually more memberships than members due to the overlaps. This can result in interesting conversations - "We have 200 Corporate members and 150 Gold members so why does the system say we have only 300 members in total?" - answer being, "We have 300 members with 200 Corporate memberships and 150 Gold memberships between them".
 
Managing these membership situations is one of the many core strengths of MX. The system has been designed and developed after decades of direct involvement with NZ membership organisations, so the lessons have been well learnt.
 

ADMIN DASHBOARDS

Forget "engagement metrics" and complex reporting - simple is best and most easily understood by you, your staff and your Board.
MX provides the statistics vital to every membership organisation: 
  1. Current membership tally, and
  2. how the membership is trending (up or down), and
  3. Value of memberships (cashflow).

The Membership Dashboard provides the answers at a glance - $$ value of memberships month-on-month and member counts month-on-month. 
 

 When it comes to member counts, there are usually more memberships than members (one member can have more than one membership). The Levy Management System [LMS] – a.k.a. ‘BELIS’ - is an add-on module supporting the NZ agricultural sector in the collection and disbursement of levies. There is an obligation under the NZ Commodity Levies Act (2004) for a percentage of produce sales to support industry-wide initiatives (biosecurity, pest control, product quality auditing, etc).
 
The Levy Management System reduces complex reporting and financial obligations to simple processes.
 
Introduced in 2020 it is a mature offering benefitting collection agents, growers, produce bodies and the NZ agri-sector in general. It is widely known as ‘BELIS’ in the industry after championing by a number of product groups.

In day-to-day use by Potatoes NZ, who are thrilled by the successful adoption by all stakeholders and rapid uptake by the Levy Collectors resulting in greater transparency across the sector and a 25% increase in levy revenue.
 
 

 
  • Every month extensive details of product sales were being uploaded and BCIs were being received. From go-live extensive data started to be collected – Who grew WhatHow Much and When.
  • Unknown Growers were being identified through the levy submissions, increasing the membership base of PNZ
  •  Anecdotally, there was a 25% increase in the monthly levy take.

SECURE MEMBER PORTAL

MX provides your members with a highly-secure portal allowing them to
  • manage and maintain their personal details
  • manage and maintain their company details (providing they are authorised to do so)
  • access to member-only resources (part of the value of their membership)
  • and access to their individual files. 
Most importantly, the portal is very easy to use supporting those persons who are less tech-confident. 
Key points are
  • Administrators check and approve updates by members (maintaining data accuracy)
  • Members have control over their own information (maintaing their data sovereignty)
  • MX also supports multi-factor authentication providing an additional security layer.
 


 

MEMBER-ONLY RESOURCES

Part of the value of membership is access to high-value resources - vouchers, knowledge-base, discussion papers, etc.
This is where MX excels, in providing Members with secure Member-only Resource Libraries. The libraries are easily managed by administrators, selecting for each document which class of member has access.
 
 
For example, Board papers might be accessible by only those individuals who are on the Board; Apprentices might have access to those documents (which may be videos, presentations, posters, not just reading material) you specify for Apprentices only.
 
 
MX allows unlimited indexing of documents and highly granular security levels. 
 
 

ON-LINE SHOP

With an integrated shop, member discounts can be automatically applied at checkout (non-members pay full price). Invoicing or immediate payment? Your choice.

SECURITY

Your membership information is fully secure with Member Express. All details are encrypted and accessed by 2-factor authentication. This option provides another layer of security and peace of mind for you and your members.
  • Can be accessed only over a secure channel
  • All logins carry minimum password requirements (8 characters, mix of upper & lower case & numbers - industry standard for this level of security).
  • The passwords are held in the database in an encrypted format. They cannot be read even if someone could access the database (called “one-way hashing”).
  • Optionally, we offer two-factor authentication – login and password, plus code sent to specified mobile phone (the same security offered by financials systems such as XERO and better than most banks).
  • Member details are securely ring-fenced. The only way a Member can access another Member’s details, is if they are deliberately granted this access by your admin staff.

EVENT MANAGEMENT

The integrated Event Management module is a step above alternatives such as Eventbrite. Being fully integrated, it allows for member and non-member pricing and integrated financials. Member attendance is directly recorded against attendee records adding to the 'helicopter' view you as administrator have of your members.

WEBSITE BUILDER

Most clients choose to use MX to manage their public website, taking advantage of the inbuilt web content management system and the templates MX is shipped with. 
 
However we recognise that organisations may have invested heavily in their public website and  MX can be implemented purely as a Membership CRM Six standard themes

MEMBER ACCOUNTS

Automatically send member transactions to your Xero accounting software. Enjoy the convenience of fast reconciliation with no data entry.
Member Express has a two-way integration between itself and Xero, ensuring that member finances in both systems reconcile.
 
It's easy to generate new and renewal invoices in Member Express and export to Xero for distribution to your members. You can then receive payments in Xero and automatically assign payments to member subscription fees in Member Express, removing the need to update two sets of accounts.
 
When members login they are, if permitted, provided with an up-to-date view of their membership accounts - invoices, payments, adjustments - imported directly from XERO.
